What the AI receptionist does on a call
The AI receptionist picks up calls to your Clevra number, greets the caller in your company's name and asks what your office would ask: who they are, how to reach them, what they need, the property address and a good time. It reads the details back, and callers always hear that they're speaking with an automated assistant and that the call is recorded.
When the call ends, it files the call as a request on the right client, or holds it for your review, with a summary and the transcript on the client's activity. If it's an emergency, like a sewage backup or no heat in January, it puts the caller through to your emergency number. If the caller only wants to leave a message, it takes one.
A caller who says "I need a septic inspection, we close on the house Friday" becomes a request with their name, the service, the address and a note about the closing date. It answers calls only, not texts or web chat, and there's no human backup on the line.
Every call lands with your other requests
Calls arrive in Requests next to the work that came from your website request form, your Clevra email address and the client portal. The people you choose get an email when a new one comes in, and the caller is saved in your client list, so nobody retypes a name or an address.
Your team still books the job
The AI receptionist quotes no prices and books nothing on its own. Your office calls or texts the caller back, confirms the time and books the visit on the schedule, or sends an estimate first. A person stays in charge of the calendar, so a phone call never double-books a tech.
Automatic booking and tech assignment are part of AI dispatch, which is in early access. Book a demo to try it.
Set it up to sound like your shop
- Welcome line: it answers in your business name.
- What it knows: tell it your services, your service area and your hours.
- Six voices: Elliot, Clara, Emma, Savannah, Godfrey and Kai, from calm and professional to warm and friendly.
- Office sound: a quiet background, if you want one.
Setup is four steps in Clevra: get your Clevra number, choose who gets alerts, subscribe and turn it on. Your business number forwards the calls nobody answers to your Clevra number, and the receptionist answers there. Tap Hear it on your phone to hear how it sounds before you turn it on.

Built for trades that miss calls on the job
Most missed calls come in while the owner is working: on a roof, under a sink or at the lid of a tank. The AI receptionist covers those hours for HVAC no-cool calls, plumbing leaks, septic inspections with a closing date, chimney sweeps in the fall rush and water damage calls at 2 a.m.
